References in this Policy to “Paysenger”, “we”, “our” or “us”, are to Paysenger, Inc. and references to “you”, “your” or “candidate” are to the person who applies to any role at Paysenger or accesses our recruitment portal.

We collect a range of information about you. This includes:

• your name and contact details, including email address and telephone number;
• details of your qualifications, skills, experience and employment history;
• information about your current level of remuneration, including benefit entitlements;
• information about you that may be contained in publicly accessible sources (e.g. LinkedIn).
• any personal data that you provide to us by email, by any other communication means.

We collect this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment.

We may also collect personal data about you from third parties, such as references supplied by former employers.

Data will be stored in a range of different places, including on your application record, in HR management systems and on other IT systems (including email).

We will use the personal information we collect about you to:

• assess your skills, qualifications, and suitability for the role;
• carry out background and reference checks, where applicable;
• communicate with you about the recruitment process;
• keep records related to our hiring processes;
• comply with legal or regulatory requirements.

The legal bases that we rely on to process your personal data are (i) our legitimate interests, namely that it is in our legitimate interests to make hiring decisions; and (ii) taking steps to decide whether to enter into contractual relations with you.

Having received your CV and cover letter, we will process that personal data to decide whether you meet the basic requirements to be shortlisted for the role. If you do, we will decide whether your application is strong enough to invite you for an interview. If we decide to call you for an interview, we will use the personal data you provide to us at the interview to decide whether to offer you a contractual engagement with us.

If you fail to provide information (including personal data) when requested, which is necessary for us to consider your application (such as evidence of qualifications or work history), we will not be able to process your application successfully. For example, if we require a background check or references for this role and you fail to provide us with relevant details, we will not be able to take your application further.

Your information will be shared internally for the purposes of the recruitment exercise. This includes members of the HR team, interviewers involved in the recruitment process, other recruitment decision-makers and IT staff if access to the data is necessary for the performance of their roles.

Your personal data may be shared with the following third parties for the purposes of processing your application:

• former employers to obtain references for you;
• third parties that are our suppliers, for example, we may engage a supplier to support us with the recruitment and application process for the contractual role that you have applied for. Any such suppliers will be subject to legal and contractual obligations designed to protect your personal data, including the requirement to process your personal data only in accordance with this Privacy Notice;
• other companies that are affiliates of us. We may share your personal data with our affiliates in the day to day running of our business.

Your personal information is stored on cloud services provided by Amazon. Amazon Privacy Notice is available at https://aws.amazon.com/privacy. Physical copies of recruitment data (such as interview notes) will be stored securely.

Your personal data may be transferred to and stored in a jurisdiction other than your own and outside the USA, the UK and the European Economic Area (“EEA”), by us, our affiliates or by our suppliers. Whenever we transfer your personal data outside of the USA, the UK and the EEA, we will ensure an adequate level of protection by any of the recognised methods of transfer, including but not limited to entry into the standard contractual clauses for the transfer of personal information to processors established in third countries.

Unless we have a legitimate reason for retaining it for longer, we will retain your personal data for a period of 24 months after we have communicated to you our decision about whether to appoint you to the contractual role. We also retain your personal data for that period in case a further opportunity arises in the future for which you would be a suitable candidate. After this period, we will securely destroy your personal data in accordance with applicable laws and regulations.

We use analytics packages from trusted third parties to constantly improve your experience of using our website. Our trusted partners help us serve analytics and may place cookies on your device. We use the following third-party services to monitor and analyse web traffic and user behaviour:

If you are located in the UK, EEA, Switzerland as a data subject (a person whose personal information is collected, stored and processed) you have several rights under data privacy laws:

• Right of access. You have the right to obtain confirmation if your personal information is being processed by us. If that is the case, you can access your personal information and the following information: (i) the purposes of the processing; (ii) the categories of personal information; (iii) to whom the personal information has been or will be disclosed; (iv) the envisaged period for which the personal information will be stored, or the criteria used to determine that period.
  If you would like to have a copy of your personal information from us, we will provide it if (i) you prove your identity, (ii) it will not adversely affect the rights and freedoms of others. The first copy will be provided for free, for any further copies we may charge a reasonable fee based on administrative costs.
• Right to rectification. You have the right to demand that we correct without undue delay your personal information which we have in our systems if it is inaccurate or incomplete.
• Right to erasure (“right to be forgotten”). You have the right to demand that we erase your personal information, and we shall erase it without undue delay where one of the following grounds applies: (i) this personal information is no longer necessary in relation to the purposes for which it was processed; (ii) you withdraw consent on which the processing is based, and where there is no other legal ground for the processing; (iii) you object to the processing and there are no overriding legitimate grounds; (iv) your personal information has been unlawfully processed; (v) your personal information has to be erased for compliance with a legal obligation.
• Right to restrict processing. You have the right to restrict us in the ability of processing your information where one of the following applies: (i) you contest the accuracy of your personal information and we are verifying it; (ii) the processing is unlawful and you want to restrict it instead of erasure; (iii) we no longer need your personal information, but you need it for establishment, exercise or defense of legal claims; (iv) you have objected to processing and we are verifying whether legitimate grounds override your request.
• Right to object. You have the right to object to the processing of your personal information based on our legitimate interests. We shall no longer process your personal information unless we demonstrate compelling legitimate grounds for the processing or for the establishment, exercise or defense of legal claims.
  Where personal information is processed for direct marketing purposes, you have the right to object at any time to the processing of your personal information for such marketing.
• Right to withdraw consent. You have the right to withdraw your consent for processing of your personal information at any time. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.

You are under no statutory or contractual obligation to provide data to us during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.

Recruitment processes are not based solely on automated decision-making.
